Bakale Software (“we”, “our”, or “us”) provides the Invoice Maker – PDF & Payment Reminders mobile application (the “App”). This Privacy Policy explains how the App collects, uses, stores, and shares information when you use the App.

This Privacy Policy applies specifically to Invoice Maker – PDF & Payment Reminders and should be read together with any in-app disclosures and the Google Play Data safety information for the App.

  1. Information we collect

A. Information you provide directly

When you use the App, you may provide:

  1. Email address and password for account sign-in using Firebase Authentication
  2. Business information such as business name, address, phone number, email, tax ID, payment details, default footer, currency symbol, invoice logo, and invoice signature
  3. Customer information such as name, phone number, email, notes, and payment-related details entered by you
  4. Item/catalog information such as item name, price, unit of measure, tax rate, discount, and description
  5. Tax records such as tax name, rate, and tax calculation method
  6. Invoice information such as invoice number, items, quantities, prices, discounts, shipping, tax details, due dates, advance paid, pending amount, payment status, attachments, and generated PDF report filters
  7. Message template content created by you
  8. Follow-up and reminder data created by you
  9. Feedback you choose to send to us by email

B. Information stored on your device

The App stores operational business data locally on your device using local storage. This may include:

  1. Customer records
  2. Templates
  3. Invoices
  4. Items and tax records
  5. Invoice attachments added from camera or gallery
  6. Business logo and business signature images, if you add them
  7. Follow-ups and reminder schedules
  8. App settings

C. Information stored in cloud services for premium users

If you activate a paid / premium plan while signed in, the App may sync and store your business data in Google Firebase Cloud Firestore so that premium data is backed up in the cloud. This may include:

  1. Customer records
  2. Templates
  3. Invoices
  4. Items and tax records
  5. Follow-ups and reminder schedules
  6. App settings

Business logo images, business signature images, and invoice attachment image files are intended to be stored locally on your device. They are not intentionally synced to Cloud Firestore by the App, although generated documents or files you choose to share may include those images.

D. Information processed by third parties

The App uses third-party services that may process limited data:

  1. Firebase Authentication for email/password sign-in and password reset
  2. Firebase Cloud Firestore for premium-user cloud data storage and sync
  3. Google Play Billing for subscription purchase, renewal, restoration, and management
  4. Google Play services and app distribution services where applicable
  5. How we use information

We use information to:

  1. Create and manage your sign-in session
  2. Let you create, store, and manage customers, invoices, templates, and follow-ups
  3. Manage items, taxes, discounts, shipping, advance payments, pending amounts, invoice attachments, and customer records
  4. Generate invoice PDFs and filtered invoice PDF reports
  5. Schedule local follow-up reminders and notifications on your device
  6. Support premium purchase and entitlement checks
  7. Sync premium-user business data to cloud storage when premium features are active
  8. Provide app support and respond to feedback requests
  9. Improve app reliability and security
  10. Subscription and billing information

The App may offer an optional paid premium plan through Google Play Billing.

At the time of writing, the premium plan is intended to be offered as an auto-renewing monthly subscription priced at approximately USD $3.99 per month, subject to Google Play pricing, localization, taxes, currency conversion, and any future pricing changes disclosed through Google Play.

If you purchase a subscription through Google Play:

  1. Google Play processes payment information and billing operations
  2. The subscription may renew automatically unless canceled before the next billing cycle
  3. Subscription status, purchase restoration, and entitlement checks may be used by the App to unlock premium features
  4. You can manage or cancel the subscription through Google Play Subscription settings

We do not directly store your full payment card details in the App.

  1. What we share

We do not sell your personal data.

For free-plan users, business data generally stays on-device unless you choose to share it through external apps or services.

For premium users, business data that you create in the App may be stored in Firebase Cloud Firestore under your authenticated account in order to support premium cloud-backed storage.

We may share limited data with service providers only as needed for the App to function:

  1. Firebase Authentication may process your email address and authentication-related account data
  2. Firebase Cloud Firestore may store premium-user business records and app settings under your account
  3. Google Play Billing may process purchase-related information for subscriptions, renewals, restoration, entitlement checks, and related subscription management

If you use external actions initiated by you, such as:

  1. Sending WhatsApp messages
  2. Sharing invoice PDFs, invoice reports, or attachments
  3. Sharing the app
  4. Sending feedback by email

Then the relevant third-party app or platform will process the data you choose to send through that service.

  1. Data retention

A. Local app data

Business data that you create in the App may be stored locally on your device until:

  1. You delete it in the App
  2. You clear the app’s storage
  3. You uninstall the App

B. Premium cloud data

If you are using premium features with cloud sync enabled, your business data may also remain stored in Firebase Cloud Firestore until:

  1. You delete that data in the App
  2. You delete your account through the App or by valid deletion request
  3. Your premium entitlement ends and you stop using cloud-backed features, subject to any backup, legal, or operational retention that may apply
  4. Retention ends according to applicable legal or operational requirements, if any

C. Logo, signature, and attachment image files

Business logo images, business signature images, and invoice attachment image files saved through the App are intended to be stored locally on your device. To remove them, delete them through the App where available, clear app storage, or uninstall the App. If you share a PDF or report that includes those images, the recipient or external sharing app may retain a copy outside our control.

D. Account data

Authentication account data associated with Firebase Authentication may be retained until the account is deleted.

E. Subscription and purchase data

Subscription and transaction-related records may also be retained by Google Play in accordance with Google’s systems, legal obligations, fraud prevention requirements, financial recordkeeping obligations, and Google Play policies.

  1. Account deletion and data deletion

You may delete your account from the Settings section of the App or request deletion of your sign-in account by contacting us at info@bakalesoftware.com from the email address associated with your account.

When a valid deletion request is received, we will take reasonable steps to delete or help delete the associated authentication account data and premium cloud data that we control.

Important:

  1. Free-plan invoice, customer, template, item, tax, follow-up, and settings data is generally stored locally on your device.
  2. Premium-plan invoice, customer, template, item, tax, follow-up, and settings data may also be stored in Firebase Cloud Firestore under your account.
  3. Business logo, signature, and invoice attachment image files are intended to remain local on your device unless you choose to share generated files containing them.
  4. To remove locally stored app data from your device, you may delete the data within the App, clear app storage from your device settings, or uninstall the App.
  5. Deleting your app account does not automatically cancel a Google Play subscription. If you have an active subscription, you should also manage or cancel it through Google Play.

If Google Play requires a public deletion-request URL for your store listing, you should publish a deletion request page on your website, such as https://bakalesoftware.com/account-deletion.

  1. Notifications

The App may request notification permission in order to show local follow-up reminders. These notifications are generated on-device based on reminder schedules you create. If notification permission is disabled or the device restricts background activity, reminders may not appear as expected.

  1. Security

We take reasonable steps to protect information used by the App. These steps include using established third-party providers for authentication, billing, and premium cloud storage, restricting cloud-backed app data to authenticated user accounts, and relying on standard encrypted transport as provided by our service providers and the operating platform.

No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

The App is intended for business users and is not directed to children.

  1. Third-party services

The App may rely on third-party services and platforms, including:

  1. Firebase Authentication
  2. Firebase Cloud Firestore
  3. Google Play Billing
  4. WhatsApp
  5. Email applications
  6. Device camera, gallery, file sharing, and notification features

Your use of those services may also be governed by their own privacy policies and terms.

  1. International use

Depending on the third-party services used, some data may be processed outside your country in accordance with the service provider’s infrastructure and policies.

  1. Important service limitations and user responsibilities

The App is a business productivity tool that helps users create invoices, reminders, message templates, item/tax records, invoice attachments, signatures, reports, and related business records. You are responsible for reviewing, approving, and using the content generated or stored through the App before sharing it with customers or relying on it for business purposes.

In particular:

  1. You are responsible for verifying invoice data, item prices, discounts, shipping, tax information, payment instructions, customer information, attachments, signatures, exported reports, and reminder content before sending or using it.
  2. You are responsible for complying with applicable tax, invoicing, accounting, consumer protection, privacy, marketing, and other laws that apply to your business and communications.
  3. The App does not provide legal, tax, accounting, audit, or financial advice.
  4. Delivery, availability, and performance of third-party services such as Google Play, Firebase, WhatsApp, email providers, device notification systems, and mobile operating systems are outside our direct control.

To the maximum extent permitted by applicable law, we are not responsible for losses, claims, penalties, or damages arising from inaccurate data entered by users, user-generated content, failed or delayed third-party delivery, subscription platform issues outside our control, or a user’s failure to review or comply with applicable legal requirements.
